How to Post an Event

  1. Click on the 'Add Event' button in the header.
  2. Fill in the required form fields on the form. See Explanation of Event Data (fields) below for detailed information about each field.
  3. If your event occurs on multiple days, either sequentially or throughout the year, see Posting the Same Event on Multiple Days below.
  4. Any errors on the form will show up in red, to be corrected before the form will submit the event for review.
  5. When the form is completed, click the 'Create' button. Remember to review the form carefully before submitting to ensure your information is correct.

Posting the Same Event on Multiple Days

If your event occurs on multiple days, either sequentially or throughout the year, you should select 'Make this a repeating (recurring) event' on the 'Add an Event' form.

When you select 'Make this a repeating (recurring) event', the Start Time and End Time fields will change to show just the time.

From here you need to select the Recurrence Pattern and the Range of Recurrence.

You can select the recurrence pattern to repeat the event daily, weekly, or monthly and then set the range of recurrence to determine for how long or for how many times this will occur.

An example of a daily event, is an event that runs for 4 days in a row from 1 p.m. to 2 p.m. on each of those days.

  1. Enter the Start Time as 1 p.m. and the End Time as 2 p.m.
  2. Select Daily for the recurrence pattern
  3. Select Every 1 day(s)
  4. Select the Start Date as the first day of the 4 days
  5. Select End after 4 occurrences

Another example would be an event that occurs every 3 days for 1 month from 10 a.m. to 11 a.m.

  1. Enter Start Time as 10 a.m. and the End Time as 11 a.m.
  2. Select Daily
  3. Select Every 3 Days
  4. Select the Start Date as the first occurrence of the event
  5. Select End by and select the end of the month from the calendar

An example of a weekly event, is an event that occurs every 2 weeks on Monday from 3 p.m. to 5 p.m. for the year.

  1. Enter the Start Time as 3 p.m. and the End Time as 5 p.m.
  2. Select Weekly
  3. Select Recur every 2 week(s) on
  4. Check Monday
  5. Set Start Date to the January 1st
  6. Select No end date – our calendar only allows events to be entered for 1 year, so the event will automatically be entered in for a year from today’s date.

Another example would be an event that runs every Tuesday and Thursday for 6 weeks from 1 p.m. to 3 p.m.

  1. Enter the Start Time as 1 p.m. and the End Time as 3 p.m.
  2. Select Weekly
  3. Select Recur every 1 week(s) on
  4. Check Tuesday and Thursday
  5. Set Start Date to the first date of the event
  6. Select End after 6 occurrences

An example of a monthly event, is an event that occurs every second Monday, every month from 5 p.m. to 7 p.m., but ends in September of the following year.

  1. Enter the Start Time as 5 p.m. and the End Time as 7 p.m.
  2. Select Monthly
  3. Select The second Monday of every 1 month
  4. Set Start Date to today
  5. Select September 31st of the next year


Explanation of Event Data (fields)

The name of the event. It must be less than 100 characters.

This is required.

Categories allow people to find your event when searching. You can add multiple categories to your events. As you type, you will receive a list of our existing categories. Select a category from the list to add it. If your category does not appear, you can add it by pressing a comma (,) or the enter key.

Consider adding categories such as the type of event like concert, sports, skating, festival, etc. and categories that indicate the audience such as youth, family, adult, seniors. Etc.

Think about what you might search for to find this event.

At least one category is required.

A description of the event and any additional information that is not included in the other fields on the form. Consider adding important information about the venue, seating capacity, if there is transportation available, the cost of the event, if registration is required, or tickets, accessibility options, etc.

This is required.

A contact phone number that will appear with the event listing for people to contact about the event.

This is optional.

A contact email address that will appear with the event listing for people to contact about the event.

This is optional.

You may upload a single image file for your event. The image file should be 450 pixels wide in resolution and no more than 1 MB in file size. This image will display on the event listing page as well as serve as the image on the home page of our site for upcoming events for this event.

This is optional.

The start date and time for your event. If you will have multiple days in your event, this should be the first day your event starts. Note that you select the date from the calendar, and the time is below the calendar, you can type in the boxes to or use the arrows to adjust the time.

This is required.

The end date and time for your event. If this is a single day event, the date will be the same as the start date, but the time will be the time the event ends on the same day. If you will have multiple days in your event, see Posting the Same Event on Multiple Days.

This is required.

This sets the event to all day, on a single day with no start or end time.

This is optional.

If your event occurs on multiple days, either sequentially or throughout the year you should select this. For complete instructions see Posting the Same Event on Multiple Days.

This is optional.

Start to type and you can search a list of prepopulated venues within Red Deer, including City facilities, community halls, shopping centres, churches, schools etc. Selecting from the list will automatically populate the address and City of the venue. You may also choose to enter your own name for the venue.

This is optional.

The address of the event. This address must be a valid address for your event listing to show a map location of the event.

This is required.

The city for the event. Generally, only events are permitted within Red Deer.

This is required.

The name of the person our moderators can contact if they have questions or need information about the event. This information is NOT posted with your event listing and is used only by our moderators.

This is optional.

The email of the contact person. If you enter an email address you will recieve notification when your event is approved and posted on the calendar.

This is optional.

Links to websites that have more information about your event. You may add multiple links.

This is optional.

URL

The full path to the web site. Must contain http:// or https://. We suggest you copy and paste the URL in from your browser.

URL Type

The types can be Website, Registration, Buy Tickets, Facebook, Twitter, or Instagram. All links will show on your event listing. Registration and Buy Ticket links will show an additional button on your listing that says Registration or Buy Tickets. If you have both types of links, Buy Tickets will take priority to display the button.

Attach additional files for your event. This may include additional images, brochures, registration forms, printable maps, event layout or guides, etc. Only pdf, Word, jpeg and png files are accepted. All files together must be less than 8 MB in file size.

Images uploaded here are separate from your event image.

Attached files will show on your event listing with the option to download.

Cancelling an Event or Changing Event Information

If you need to cancel your event, or cancel just one day of a range of events, or change any details about your event you must contact communications@reddeer.ca for assistance.

Searching

The search bar is a keyword search that searches the title, description, category and venue for all events for the word(s) you enter in the search box. Selecting a time frame will narrow the search.

  • This Week – From Monday to Sunday of the current week.
  • Next Week – From Monday to Sunday of the following week.
  • This Month – For entire current month, ie. December.
  • Next Month – For the entire next month from the current month.

The search page allows you to do a more specific search for keywords for title and description, venue, categories and time frames.
